Many companies have done away with sick leave, vacation days, and personal days as employee benefits and have replaced all of them with a PTO plan. The acronym means "paid time off" or "personal time off" and, while many employees welcome the change, it can lead to costly mistakes for a company if it is not implemented well.
An employee's PTO is a number of hours in a virtual bank from which employees can make withdrawals. Employers credit additional hours to each employee's bank over time, usually with every pay period. Under a PTO plan, the employees would instead be credited with 30 days paid time off per year.
The calculation method depends on the pay schedule. With a bi-weekly pay schedule that is, 26 paydays a yearemployees are credited 1. With a semi-monthly pay schedule is used that is, payday is the first and 15th of each monthemployees accrue 1. A PTO plan makes your company more attractive to prospective employees by increasing the number of days they can take off from work and still get paid if they are generally in good health. There is no cost to the company and employees are happier.
A PTO can cause problems for a business if its employees feel free to call in at the last minute and use up some PTO time. This can be managed by requiring prior approval for any use of PTO. One of the most common problems is caused by sick employees who don't want to waste their PTO on mere illnesses. There's a tendency to horde paid time off as vacation time. When employees get sick, they stagger into work anyway to avoid using up paid time off.

Currently, hourly workers can miss up to 9 days every six months for unexpected absences. Walmart is cutting that to 5 under the new policy, which will take effect this weekend. The policy around vacation days is not changing. On top of the 5 days every six months, workers will start receiving up to 6 days a year of "protected PTO.
The difference is the protected PTO won't count against workers' attendance records. Even workers who take all 6 days can be eligible for the new attendance bonus. They won't get the bonus, however, if they dip into the pool of 5 additional days every six months. Walmart, the country's largest private employer, sayspart- and full-time hourly workers already have attendance records that would qualify them for the new bonuses.
Walmart is doubling down on benefits to attract and keep its top talent. At the same time, it believes the new program won't add a lot to its costs. The company faces intense pressure from investors to keep down costs. Last year, Walmart raised the minimum wage for all of its 1. But again, this is within your control. If an employee is able to complete or get ahead on projects before his unlimited vacation time, so much the better. If not, task them to make arrangements with a colleague to cover any hot or unanticipated projects. Then, get confirmation from the employee who has agreed to take on the work to ensure that all bases are covered.
You do have a business to run, after all. As long as you clearly communicate expectations and requirements, you should be able to limit any potential negative impact. You might also fear that several people in one department will take a significant amount of time off simultaneously. Decide how barebones a department can be and still function, and then state that if X number of people in a given department have already been approved for time off, no more requests can be made.
Make this easier to implement by utilizing PTO tracking software that provides visibility for you — and for employees — to see what conflicts exist. You still need a vacation request process. In your PTO policy, outline the steps for asking for time off and getting it approved. If longer vacation requests require additional components, like that work plan we mentioned earlier, make sure to specify those instructions as well. Outline potential reasons they might be declined, such as overlap with other requests or a busy period for the company.
